Privacy Policy

01.Who we are & what this covers

Awards Pulse helps organizations and agencies find, prepare, and track award submissions. This policy covers the Awards Pulse application, our marketing site, and related services. It explains what we collect, how we use it, who processes it on our behalf, and the choices you have. We do not buy or sell personal data.

02.Information we collect

Account data. Your name, email address, job title, and sign-in credentials. Authentication is handled by Clerk, our identity provider; we never see or store your password.

Workspace content. What you and your team put into the product: company and client profiles (which may include names, titles, emails, photos, and LinkedIn URLs of people you add, such as executives or contacts), award candidates and campaigns, submission drafts and tracking notes, budgets and entry costs, competitors you track, calendar tasks, and support conversations.

Files. Documents, images, audio, and video you upload to your workspace library are stored in private, access-controlled cloud storage (Amazon Web Services).

Billing data. Payments are processed by Stripe. Card and bank details go directly to Stripe; we hold your billing contact details, plan, invoices, and balance history — never full payment credentials.

Usage & log data. Request metadata, feature usage, and a per-workspace activity log that records who did what (including actions taken by an AI assistant you connect — see section 5).

03.How we use it

We use your data to run the service: match your profiles against our award catalog, extract usable summaries from your files, track deadlines and submissions, process payments, send transactional email (invites, deadline reminders, notifications, receipts), and respond to support requests. Aggregated, de-identified usage data informs product decisions.

04.AI processing

Core features are AI-assisted. When you upload a file or run an award match, the relevant content — extracted file text, optimized media, and the workspace content you chose to include — is processed by third-party AI model providers through our AI orchestration platform, under their business/API terms. Your content is not used to train public models. Files are handed to AI providers via short-lived, tokenized links; our storage stays private.

05.Connected AI assistants

You can connect your own AI assistant (for example Claude) to your workspace through our agent interface. Access requires your explicit sign-in and authorization, is limited to workspaces you belong to, and every action the assistant takes is attributed to your account in the activity log. You can revoke access at any time. What a connected assistant does with data it reads is governed by that assistant provider's own terms.

06.Service providers

We share data with the vendors who run the service for us, each limited to their function: Clerk (authentication), Stripe (payments), Amazon Web Services (file storage and transactional email), and our AI orchestration platform and its underlying model providers (AI features). We don't share personal data with advertisers or data brokers.

07.How your data is shared

Workspace content is visible to the members of that workspace. If your workspace is managed by an agency, that agency's staff can access it as part of managing your awards. If you create a public share link for a submission, anyone with the link (and password, if you set one) can view that submission until you revoke it. We may also disclose data when required by law.

08.Retention & deletion

Your content stays in your workspace until you remove it. You can delete files, candidates, submissions, and other records from inside the product; deleting a file also removes it from storage. For full workspace or account deletion, or anything you can't remove from the product, email privacy@awardspulse.com and we'll complete the request within 30 days, except where we must retain records (for example billing records) to meet legal obligations.

09.Security

All traffic is encrypted in transit (TLS). Files live in private cloud storage that is never publicly listable; downloads use expiring, signed links. Access to workspace data is scoped by membership and enforced on every request. No system is perfectly secure — if we learn of a breach affecting your data, we will notify you as required by law.

10.Your rights

You can access and export your data from inside the product (CSV and PDF exports are built in) and correct it by editing it. You may also request a copy, correction, or deletion of your personal data by emailing privacy@awardspulse.com. Depending on where you live (for example the EU/UK or California), you may have additional statutory rights, which we honor.

11.Changes to this policy

When we make material changes, we'll update the version and effective date at the top of this page and notify workspace owners by email. Continued use of the service after the effective date means the updated policy applies.
